1. Who we are
Greenmotion Renewables Ltd (“we”, “us”, “our”) is the data controller responsible for your personal data. Our registered office is 184 Tithe Street, Leicester, Leicestershire, LE5 4BN. You can contact us about privacy matters at [email protected] or on 07761 915368.
2. The data we collect
Depending on how you interact with us, we may collect:
- Contact & identity data — name, email address, telephone number and postal/property address.
- Property & survey data — information about your home (property type, age, fuel, bills, heat-loss figures), photos of rooms, radiators and consumer units, and utility bills you upload.
- Project data — quotations, contracts, design documents, commissioning and compliance records associated with your installation.
- Account data — login credentials for your customer portal (passwords are stored in encrypted/hashed form).
- Technical data — IP address, browser type and device information collected automatically when you use our website (see our Cookie Policy).
3. How and why we use your data
We process your personal data on the following lawful bases:
- To provide our services (performance of a contract) — preparing estimates and quotations, carrying out surveys and designs, installing and commissioning your system, and providing aftercare.
- To meet legal and regulatory obligations — MCS certification and lodgement, Building Regulations notifications, DNO notifications, Boiler Upgrade Scheme (BUS) grant administration, and our obligations under the Renewable Energy Consumer Code (RECC).
- Legitimate interests — responding to enquiries, improving our services, protecting our business and preventing fraud.
- Consent — where you have opted in to marketing communications. You can withdraw consent at any time.
4. Sharing your data
We only share your data where necessary to deliver our services or meet our obligations, including with:
- The Microgeneration Certification Scheme (MCS) and our certification body;
- Your Distribution Network Operator (DNO) and local Building Control body;
- Ofgem and grant administrators for the Boiler Upgrade Scheme;
- The Independent Warranty Association (IWA) for deposit protection and insurance-backed guarantees;
- The Renewable Energy Consumer Code (RECC) / Renewable Energy Assurance Ltd (REAL) where required;
- Trusted service providers (e.g. secure cloud hosting and email) acting on our instructions under contract.
We never sell your personal data to third parties.
5. How long we keep it
We keep personal data only for as long as necessary. Installation, compliance and warranty records are typically retained for the life of the guarantee plus the statutory limitation period (up to 6 years, or longer where required by MCS, warranty or tax rules). Enquiry data that does not lead to a contract is generally deleted within 24 months.
6. Keeping your data secure
We use appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS), access controls, hashed passwords and secure cloud storage. Uploaded documents and photos are stored in access-controlled cloud storage.
7. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you;
- Request correction of inaccurate data;
- Request erasure of your data (where no legal obligation to retain it applies);
- Object to or restrict processing;
- Request data portability;
- Withdraw consent for marketing at any time.
To exercise any of these rights, email [email protected]. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
